Overview
Our Client a Global Commodity Trading Company are currently seeking an Operations Coordinator.
You will ensure accurate booking, verification, processing and settlement of global Material Services transactions, working with Trading, Commercial and Controlling teams to resolve breaches and keep operations running smoothly.
Key duties include issuing pool metal release instructions, verifying depository releases and receipts, coordinating customer movements and monitoring supply chain activity. You will support global Commercial teams by building customer relationships, answering queries and resolving supplier and customer discrepancies.
You will manage global VAT, compliance and supply contract administration, while supporting process improvements, system enhancements, controls and expertise in global commodity trading operations.
Knowledge and Experience
Educational Background:
Degree in finance, Economics, Business Administration or a related field, or equivalent relevant professional experience.
Professional Experience:
Typically 3–5 years’ relevant experience in trading, commodity or financial services operations, or a similar fast-paced environment.
Trade Support Expertise:
Trade support or trading operations experience, ideally in commodities, financial services or another complex environment, including spot/forward, futures, options and lease trading.
Analytical and Problem-Solving Skills:
Strong numerical, analytical and problem-solving skills, with curiosity and attention to detail to monitor contracts, identify trade discrepancies and manage commodity price-volatility risks.
Collaborative Mindset:
A proactive, team-focused approach that prioritises collaboration and shared success.
Technical Proficiency:
Proficient in Microsoft Office, especially Excel, PowerPoint and Visio.

Principal Responsibilities
Trade Processing
- Verify trade entries in Trinity for accuracy.
- Send and receive trade confirmations within required timeframes.
- Monitor trade lifecycles to completion.
- Investigate operational queries from customers and internal/global teams.
- Support Commercial team transactions.
- Work with Trading, Commercial and Credit teams to maintain credit limits.
- Provide operational analysis and reporting to support business activities.
Metal Movements, Shipping and Reconciliation
- Clear London and Zurich daily commitments by cut-off.
- Reconcile closing metal positions with financial institutions.
- Process daily depository commitments and monitor forward positions.
- Record pool account metal movements accurately and on time.
- Reconcile stock positions and resolve discrepancies.
- Coordinate shipments, log deliveries and support REACH reporting.
- Maintain accurate daily stock positions and promptly flag inconsistencies to Trading.
Monitoring of Contracts
- Be aware of and comply with contractual obligations regarding pricing, delivery, payment, etc.
- Prepare management summaries.
- Identify, report and deal with discrepancies.
Business Support
- Support operational projects and business initiatives as required.
- Participate in user acceptance testing (UAT) and validation of system enhancements and new functionality.
- Assist with onboarding new customers, suppliers and business partners, including maintaining accurate master data within company systems.
- Maintain operational procedures and work instructions, ensuring documentation remains current and accurate.
- Identify opportunities for process improvements, enhanced controls and operational efficiencies, escalating recommendations to the Operations Specialist or Manager.
- Support the preparation of operational reports, data analysis and management information.
- Develop cross-functional knowledge to provide operational support across global regions when required.
Compliance
- Ensure that a robust system of internal controls exists to satisfy internal, year-end, Financial Reporting Compliance (FRC) audits and EMIR/FCA regulations in a timely manner, including an update of Process Controls as and when required.
- Follow guidelines relating to REACH.
- Ensure that guidelines are properly implemented and that requirements are fulfilled in a timely manner.
- Support internal and external audits by providing documentation and evidence and assisting in implementing agreed control improvements.
Value-Added Taxes
- Understand VAT rules and business implications in the UK, Italy, South Africa and Japan.
- Process and record VAT accurately.
- Liaise with VAT authorities and internal teams to ensure compliance.
Work environment
- Reports to the Operations Manager, London.
- Works independently within established processes and controls, with support for complex or escalated matters.
- 36.25 hours per week on a shift rota covering global requirements.
